Because Content Hub deals with pre-release content, it has heightened permission standards. For that reason, external vendor users (any user with a non-@netflix.com email address) and Netflix Contractors (with an @netflixcontractors.com email address) have heightened capability restrictions -- most notably when it comes to sharing.

Sharing Permissions Overview

In Content Hub, share actions are typically performed on either the Media Library page or the Workspace page. While there are certain roles that grant general share capabilities for external vendor users and Netflix Contractors on these pages, not everyone's actual share experience will be exactly the same. Depending on what type of user you are, you may have a different experience in terms of who you can share with. 

Internal Full-Time Netflix Employees (@netflix.com)

Internal users (@netflix.com emails) can share with any user who is properly set up in our (Starship) system with an active account -- that includes internal or external users. In order for an external to be "properly" set up, they must also have a vendor association in their Starship profile or they will not show up when searching in the share prompt in Content Hub.

  • If a non-Netflix user, the account must be Active. (This is noted in Starship.)

External Vendor Users (any non-@netflix.com email)

An external vendor user has a more restricted experience and can only share with the following users:

  • Other internal and external users that already have access to the Content Hub project that you are sharing from.
  • Any other external vendor user who works at the same facility/vendor. To confirm this, Content Hub checks that they have the same vendor association set up on their Netflix Studio Account (regardless if they already have access to the Content Hub project or not).
    • If a non-Netflix user, the account must be Active. (This is noted in Starship.)
    • There is one key exception to this logic, however: the Netflix Studios vendor. For freelancers with a Netflix Studios account who might need to share with another person who also has a Netflix Studios account, this will still be possible as long as the share recipient user already has access to the same Content Hub project. If you are having sharing issues and are associated with the Netflix Studios  vendor, reach out to your Netflix point of contact as they might need to onboard the person you wish to share with to the project before they can appear in the search of your share prompt. 

Netflix Contractors (@netflixcontractors.com)

As a Netflix Contractor (@netflixcontractors.com email), you will have a different share experience than your colleagues who are full-time Netflix employees and can only share with:

  • Other internal and external users that have already access to the Content Hub project that you are sharing from.
    • If a non-Netflix user, the account must be Active. (This is noted in Starship.)

Note: unlike vendor users -- that can share with other users who have the same vendor association whether or not they have access to the project or not -- Netflix Contractors cannot share with other Netflix Contractors unless they have already been granted access to the project. This is more similar to the Netflix Studios vendor mentioned above.

Why can’t I share?

Don't See a Share Button on the Media Library page?

In general, if you don’t see a share button on an asset in the Media Library, that means that the Content Hub role you were granted does not allow for share permissions for that asset type.

If you run into this and need share access, you should reach out to your internal Netflix point of contact who can adjust your role in Starship, so that you have the appropriate capabilities for the project. 

Don't See a Share Button on the Workspace page?

In general, if you don’t see a share button on a file or folder in the Shared with Me section on the Workspace page, that means that the person who shared with you did not grant you permission to share with others when originally sharing with you. (The four permissions types are View, Edit, Share, & Edit and Share. If you only receive the View or Edit permissions when a file or folder was shared with you, then you would not be able to share and therefore, would see a share button option. 

If you run into this and need share access, you should reach out to the person who originally shared the file or folder with you and ask them to adjust your permission from the Workspace page. 

Why Don't I See the Person I Want to Share With?

If you see the share button but can’t find the person you are looking for in the share prompt, it could be one of following:

  • The Netflix Studio Account of the person you are trying to share with is not created or not Active, therefore, they don’t appear as an option.
  • The Netflix Studio Account of the person you are trying to share was not set up properly and is missing a vendor association, and therefore, does not appear as an option.
  • If you are an external vendor user or Netflix Contractor, it may be that you are not allowed to share with that particular user, for the reasons stated above.

If you run into any of these, you should again reach out to your internal Netflix point of contact who can help troubleshoot and do on of the following:

  • Create a Netflix Studio Account for the user that needs to be shared with.
  • Resend an activation email to the person whose account is Inactive, so they can set up a password and activate their Netflix Studio credentials.
  • Add the proper vendor association on the Netflix Studio account of the person with whom you are trying to share.
  • Grant project access to the person with whom you are trying to share (if this person does not share the same vendor association as you).
