The VFX Media Submission tool allows vendors or production users to submit VFX media to the studio.  Submissions are created using the VFX Media Submission tool in the Tool Library.  This tool creates a playlist in Flow Production Tracking for the Studio to review.  If you have questions regarding the Flow Production Tracking review and notes workflow, please reach out to your VFX contact.  

Before you begin please note that to upload/download files in Content Hub, you'll need the latest Aspera Connect plugin installed. Content Hub supports Windows & Mac operating systems only.

High Level Workflow Walkthrough

  1. A VFX facility or Production uploads a folder containing a CSV and media to a Content Hub workspace. Please note, the order of media listed in the CSV is the order the media will playback in Flow Production Tracking.
  2. A submission is created and named following our naming best practices
  3. The CSV is selected and media in the Content Hub Workspace is then connected to the media. 
  4. The submission is confirmed and submitted to the Studio. 
  5. The submission will go through inspection, encoding, and will record the submission data and output a playlist in Flow Production Tracking for review for the submitted movie files and still images. 

Uploading to Workspace

In Workspaces for your project select the blue Upload button. A pop-up will appear where you can drag and drop your folder, or select your folder to upload.  Please make sure the CSV and files are nested in a parent folder.

Before uploading, there are some important considerations around file naming:

Movies and stills

For each movie and still image submitted, there must be a CSV entry where Version Name matches the complete file name of the corresponding movie or still. Including the file extension.

Example: If your movie file is AGM_104_067_2250_comp_NFX_v001.mp4 the Version name in your CSV must also be AGM_104_067_2250_comp_NFX_v001.mp4 

EXR image sequences

For each EXR image sequence submitted, there must be a csv entry where the Version Name matches the base name of your EXR frames (no extension or frame numbering).

Example: If your EXR file is AGM_104_067_2320_comp_NFX_v001.[001000-001037].exr the basename that must appear under Version Name in your CSV is AGM_104_067_2320_comp_NFX_v001

A .mp4 or .mov proxy with the same basename will automatically be detected and attached to the image sequence.

Image sequences frame numbers must be delimited in filenames using periods.

EXR image sequence should be submitted with a proxy .mp4 or .mov file that shares the same basename, it will automatically be detected and associated with the image sequence. An additional row does not need to be added to the CSV for proxies when a row is already included for the Image Sequence. If the proxy is not named with the exact basename and ending in .mov or .mp4 then you will encounter a Missing in CSV error.

Note: CSV data is critically important for all submissions. See delivery specifications for details on required CSV data. When submitting VFX Shots, please always include the “Link” field with the VFX Shot Name. 

Once material has been prepped, you may begin your upload.

Review your upload and then select Start Upload. This will kick off the upload via Aspera

After the files have completed uploading, you can check to ensure that all files were uploaded as intended. To ensure that the upload has completed, select the three dot icon from the actions menu and then select Metadata. Do not delete any files or folder until you receive a confirmation email that the Studio received your submission.

Once your CSV and files have uploaded to workspace successfully, based on your Content Hub notification settings, you may receive an email notification. This is a notification only for the upload portion of this workflow. Please note, your CSV and files must be uploaded before you can create a submission. You still need to move through the next steps to submit to the Studio. If you wish to disable WORKSPACE notifications, please see our Content Hub notification guide. VFX Media Submission Walkthrough

Select the Tool Library tab in your Content Hub Project and select the VFX Media Submission tile.

Select the Create Submission button.

In the Create submission window,  name your submission and then select Next: Import Assets.

Locate the folder you uploaded to your workspace. Use the small arrow next to the folder name to expand your submission folder and then select your CSV.  Select Create Submission. Your submission is now being validated.

Review your submission to ensure that everything is included and looks accurate.  Should you wish to cancel any assets, select the trashcan icon located in the Actions column.

Lastly select Submit to connect the CSV data to the media and send your submission to Flow PT.

Checking The Status of your Submissions/Files

After submitting, processing the submission may take some time. You can check the status of each shot by selecting the shot and reviewing the status.

On the main VFX Media Submission page you can see an overall status for your submission. Include the status, asset count, and when it was last updated.
